Copilot in SMEs: much more than Technology.

As a Microsoft expert and close partner to several Small and Medium Enterprises (SMEs) in Portugal, I have observed a clear pattern: many organizations recognize the potential of generative artificial intelligence, but underestimate what is needed for its adoption to be truly transformative.

Microsoft Copilot is one of those disruptive tools — powerful, yes, but requiring a strategic approach to generate real value.

Microsoft Copilot combines generative AI with Microsoft 365 data and tools to automate routine tasks, generate content, synthesize information, and assist in decision-making. In an SME, where resources are limited and agility is essential, these capabilities represent a unique opportunity for increased productivity, improved customer experience, and a real competitive advantage.

However — and this is something that has been confirmed on the ground — technology alone does not work miracles . The positive impact of Copilot can only be achieved with targeted, planned and monitored adoption. Because we are not just talking about technology. We are talking about changing behavior, organizational culture and team empowerment.

The current behavior of Portuguese SMEs: between curiosity and hesitation

In Portugal, what we have seen is a mix of enthusiasm and hesitation. Many SMEs are curious and open to innovation, but fear the complexity associated with adopting AI. Some move forward with ad hoc tests without a clear vision; others invest in the technology, but without the human support needed to guide the transformation.

This behavior is understandable. But this is precisely where the difference between an underutilized tool and a true growth engine lies.

Copilot's success depends on two fundamental pillars: change management and continuous training.

Introducing a new tool, especially one as disruptive as Copilot, can generate resistance. Automating tasks, delegating decisions to AI, or changing work routines requires trust — and that can’t be achieved with online tutorials. It requires specialized teams that combine technical expertise with human sensitivity to facilitate the transition and create an environment of positive adoption.

Furthermore, training is not a one-off event. It is an ongoing process. Each employee must understand how Copilot can be useful in their daily work, how to interpret its results and how to use it safely and ethically.

Measure, adjust, evolve: Adopting Copilot does not end with its activation. It is necessary to continuously monitor its impact , adjust its use to the specificities of the business and measure relevant metrics: productivity, quality of decisions, time saved, customer satisfaction, among others.

Likewise, ensuring that use is aligned with data protection and cybersecurity standards is imperative. Having an experienced team ensures compliance and reduces risks — something particularly sensitive for SMEs, which are often less prepared in this area.

It is a strategic decision, not just a technological one.

Adopting Microsoft Copilot is a strategic decision that can redefine the way an SME operates. But it requires vision. It requires commitment to transformation, not just technically, but also humanly. The Portuguese SMEs that are already following this path, with specialized support, are today living examples of how it is possible to do more with less , with intelligence and confidence.

Copilot is not just a tool. It’s a new way of thinking about work.
